Overview

ResidentFlow AI ("we", "us") provides software for property managers to communicate with their residents. This policy explains what personal information we collect, how we use it, and your rights.

Information we collect

  • Account data — name, email, company name, role, password hash.
  • Customer Data — resident contact records, lease details, maintenance tickets, message history that you upload to the Service.
  • Usage data — logs, IP address, device, browser, pages visited, in-app actions.
  • Payment data — handled by our payment processor; we receive billing status only.

How we use information

  • Provide, secure, and improve the Service.
  • Send transactional emails and SMS on your behalf.
  • Bill you and prevent fraud.
  • Send product announcements (you may opt out).
  • Comply with legal obligations.

Sharing

We share personal information only with: subprocessors who help us run the Service (hosting, email delivery, SMS delivery, payments, analytics); your authorized team members; and authorities when legally required. We do not sell personal information.

Subprocessors

Current subprocessors include our cloud database and edge runtime provider, our transactional email provider (notify.flowresident.com), our SMS provider (Twilio), and our payment provider (Paddle). A current list is available on request.

Security

Data is encrypted in transit (TLS) and at rest. Access is scoped per company via row-level security. We follow industry best practices for authentication, secrets management, and incident response.

Retention

We retain Customer Data while your account is active and for a reasonable period afterward. You may request export or deletion at any time by emailing privacy@flowresident.com.

Your rights

Depending on your jurisdiction (e.g., GDPR, CCPA), you may have rights to access, correct, delete, or port your personal information, and to object to or restrict certain processing. Contact us to exercise these rights.

Email & SMS preferences

Marketing emails include an unsubscribe link. Transactional messages (security, account, billing) cannot be opted out while your account is active. SMS recipients can reply STOP to opt out.

Children

The Service is not directed to children under 16, and we do not knowingly collect personal information from them.
